Workbooks Enhancements & Suggestions

At Workbooks, we think that our customers should have the opportunity to influence our product development priorities.

If you have any suggestions or would like to vote on an existing suggestion, please do so – it helps us choose the features we will work on next.   1. Notification that e-mail hasn't tracked properly (contact email is incorrect)

    As it stands, if I track an email in Workbooks (using Email to Dropbox) and the e-mail isn't actually in Workbooks (i.e. the contact has an old email address) it isn't possible to know this, so nothing is tracked against the contact as intended. Workbooks should provide a notification that it has failed to link an email address.

  2. Pick List option in the Subject box after selecting schedule an Activity

    To be able to add a pick list (and text) in the subject box after pressing to record or schedule a task/email/telephone activity, we use the same things each time e.g. Need to call back, Follow up call, Call back in 6 months etc

  3. Print Reports directly from Workbooks with print options and page settings

    At the moment, you can't print a report directly from Workbooks! The only option is export the report to excel!

    Can you add an option to print reports directly from Workbooks, and the ability to set printer settings, page layout and 'fit to page' when printing, similar to the way workbooks formats schedule report emails, with word wrap.

  4. Hide non-matching enrich suggestions

    When you click the enrich button, it normally brings back useful, correct information but occasionally suggests incorrect or useless information. After declining a suggestion, the enrich button continues to show, which makes is likely that another user will mistakenly click enirch and overwrite the correct information.

    My suggestion is to add a "Not a match" button for suggestions that are incorrect.

  5. Form Layout suggestions

    Ability to select/de-select the Required/Read-only/Show checkboxes in the main Form Layouts window without having to open each field individually. As a bonus, add a search component to the same window in order to find a field.

  6. Uploading a .pdf or other file type into an email template

    Creating email templates is great for automation. Extending this functionality to allow a pdf or jpg would be even better. For example, lets say a prospect comes in as a lead, and you would like to send them some white papers along with a sales email. Having to upload the white papers each time almost defeats the ease of use of the templates.

  7. Restrict Workbooks Bulletins to Specific Users

    Add the ability to restrict who receives bulletins from Workbooks.

    Although bulletins can be very useful for admins, they may be misleading for users, particularly when referring to customised pages/views or referring to disabled/restricted features

    The bulletins tend to suggest contacting workbooks support if they have issues but in practise, it would be better for end users (and Workbooks Support) if they spoke to the Sys Admins in the first instance.

    The solution: Allow admins to restrict bulletins to them who can disseminate information to the relevant users.

  8. Change way Email Addresses are recorded to make it easier to handle multiple addresses for same person

    Workbooks is not great in the way it handles multiple email addresses for a Person. It would be much better if these could form a list (unlimited, within reason) in the Main tab with a descriptor (eg. Work1, Work2, Home etc. - but free text please) and a Personal/Work check box against each (determining whether or not emails attach to Organisation or not) - plus an option to select a 'primary' email from a drop-down list (ie. the one that would be used by mailing systems, mail-merge etc.).   9. Adding recipients when sending quotations or order acknowledgements

    At present when you send a completed quotation to a customer you have to select the recipient from the list of the entire database. Can this list be filled with the names of the 'people' associated with the relevant record (opportunity. quotation etc)

  10. Introduce language pack

    All user interface of Workbooks is in English. Is it possible to introduce a 'language pack' to be able to set the language to another, depending on a setting in the user's preferences? (similar to the locale functionality of Windows)

    If introduced, I am willing to assist on the Dutch translation.

    This feature is currently being developed by our engineering team for French, German and Spanish and we hope to release it shortly.

  12. Save as drafts function within activities

    Auto save as draft if a user enters information but then has to step away for an extended period of time and the system closes down. so when the user returns and re-loads the application, it takes the user back to the same point it was last being used, and with the text that needs to be confirmed and saved.

  14. Ring Back List

    When processing my Activities I often get an answerphone or busy signal. It would be very handy if there was a button or link I could click which would add the Activity to a Call Back Today list.
    This would save me having to find a Post It or other scrap paper to write the details onto and present me with a list I could update (remove the ones I get through to) as I go through the day.
    Much tidier and a time saver.

  15. Blank Email Subject Warning Popup

    When creating a new email, it would be a good idea for a warning to pop up to alert you if you have not entered a subject line.

  16. Clone a product

    Would like to have the ability to clone a product rather than have to create a new or import them each time.

    Scenario is that I have 1 product that works well so I now want to add 9 more that are similar. I didn't import the single one so there's no profile I could use again.

    Why can't I select from the products list and clone it?

  17. Charts

    Need to improve Charts. Currently, charts is showing only single color. Even if we choose under styling "Mixed" still it's showing only 1 color. There is no way to change the chart type of one Axis to Line Chart.Like combination of Line & Bar Chart. Similar to what we have in excel.Also, Data label text direction is 270 degree . There is no option to change this to Horizontal direction like the excel chart. Data Series (Vertical). Currently its showing 0.0, 0.5, 1.0, 1.5 … so on till 4.0. no option to change this to simply 0, 1, 2, 3,…

  18. Ability to sort columns when building reports

    Click 'Title' in the list of columns to sort them. This would help find columns to remove for example.

  19. Form Layout Field graphic

    Add a graphic to the Form Layout Field editor that indicates which Section you are working on, in relation to the published page as a whole.

  20. Mobile Device Access v Desktop

    It would be good to be able to report out in terms of the adoption of the system in terms of the volume of people accessing and making changes via the Desktop versus those doing changes via Mobile so to be able to run reporting out by user on this. It might help with adoption and also sales person adoption of the system in particular.
