Workbooks Enhancements & Suggestions

At Workbooks, we think that our customers should have the opportunity to influence our product development priorities.

If you have any suggestions or would like to vote on an existing suggestion, please do so – it helps us choose the features we will work on next. We have already addressed a lot of the most popular ideas voted for here. You get 10 votes which can be reallocated (and which become free when we complete an idea you have voted for).

  1. Selecting Product Code instead of Product in Quotes and Oppertunaties

    In a Quote or Opportunity, when you select "Add Line Item" this selects from the "product" and note the "Product Code". this means when you print out either of these pages you have a full product description instead of just the product code. under Product.

  2. Display emails shared in Workbooks

    When looking at a list of emails in a folder, it would be useful to know which ones have been shared in Workbooks using the WOC. Maybe a flag adjacent to those emails (or something similar)?

  3. Ability to add images to rich text fields, emails etc without having to upload them first

    Rather than upload an image to the library, Workbooks allows you to browse for a file stored on your somputer.

  4. Add 'prompts' in field boxes in greyed out text so that the exact term can be entered thus preventing confusion.

    A lot of the data entry fields are ambiguous as to what needs to be entered, this would benefit massively from having a greyed out comment to state the exact nature of the data that needs to be input and would reduce errors, particularly when training new staff on the system.

  5. Add a parameter to control the default typeface (font family) and size on print outs

    This would make it easier to read than the current 9pt

  6. Notification that e-mail hasn't tracked properly (contact email is incorrect)

    As it stands, if I track an email in Workbooks (using Email to Dropbox) and the e-mail isn't actually in Workbooks (i.e. the contact has an old email address) it isn't possible to know this, so nothing is tracked against the contact as intended. Workbooks should provide a notification that it has failed to link an email address.

  7. Pick List option in the Subject box after selecting schedule an Activity

    To be able to add a pick list (and text) in the subject box after pressing to record or schedule a task/email/telephone activity, we use the same things each time e.g. Need to call back, Follow up call, Call back in 6 months etc

  8. Create or update contact from within email.

    It would be useful when you have an email from an unknown (to workbooks) contact to be able to have an action button from the email window. You could create a new contact using the new email address, or linking it to an existing contact.

  9. Form Layout suggestions

    Ability to select/de-select the Required/Read-only/Show checkboxes in the main Form Layouts window without having to open each field individually. As a bonus, add a search component to the same window in order to find a field.

  10. Uploading a .pdf or other file type into an email template

    Creating email templates is great for automation. Extending this functionality to allow a pdf or jpg would be even better. For example, lets say a prospect comes in as a lead, and you would like to send them some white papers along with a sales email. Having to upload the white papers each time almost defeats the ease of use of the templates.

  11. Change way Email Addresses are recorded to make it easier to handle multiple addresses for same person

    Workbooks is not great in the way it handles multiple email addresses for a Person. It would be much better if these could form a list (unlimited, within reason) *in the Main tab* with a descriptor (eg. Work1, Work2, Home etc. - but free text please) and a Personal/Work check box against each (determining whether or not emails attach to Organisation or not) - *plus* an option to select a 'primary' email from a drop-down list (ie. the one that would be used by mailing systems, mail-merge etc.). Having to manage this via the 'Contact details' tab is laborious and…

  12. Adding recipients when sending quotations or order acknowledgements

    At present when you send a completed quotation to a customer you have to select the recipient from the list of the entire database. Can this list be filled with the names of the 'people' associated with the relevant record (opportunity. quotation etc)

  13. Introduce language pack

    All user interface of Workbooks is in English. Is it possible to introduce a 'language pack' to be able to set the language to another, depending on a setting in the user's preferences? (similar to the locale functionality of Windows)

    If introduced, I am willing to assist on the Dutch translation.

    This feature is currently being developed by our engineering team for French, German and Spanish and we hope to release it shortly.

  15. Save as drafts function within activities

    Auto save as draft if a user enters information but then has to step away for an extended period of time and the system closes down. so when the user returns and re-loads the application, it takes the user back to the same point it was last being used, and with the text that needs to be confirmed and saved.

  17. Ring Back List

    When processing my Activities I often get an answerphone or busy signal. It would be very handy if there was a button or link I could click which would add the Activity to a Call Back Today list.
    This would save me having to find a Post It or other scrap paper to write the details onto and present me with a list I could update (remove the ones I get through to) as I go through the day.
    Much tidier and a time saver.

  18. Blank Email Subject Warning Popup

    When creating a new email, it would be a good idea for a warning to pop up to alert you if you have not entered a subject line.

  19. Clone a product

    Would like to have the ability to clone a product rather than have to create a new or import them each time.

    Scenario is that I have 1 product that works well so I now want to add 9 more that are similar. I didn't import the single one so there's no profile I could use again.

    Why can't I select from the products list and clone it?

  20. Ability to sort columns when building reports

    Click 'Title' in the list of columns to sort them. This would help find columns to remove for example.
