Good news!!! The Winter 2015/16 Update of Workbooks will introduce the ability to Merge People or Organisations.

Please be on the lookout for the Winter release Bulletin (previous Bulletins are located in Start > Bulletins).

This idea will be updated to Completed in due course, along with a link to the relevant Knowledge Base webpage.

  2. Add Calendar

Add a Calendar Style window which shows by day/week/month exactly what is going on, in similar way to google calendar, with ability to show only your activities, a specific user's activities, all activities, and filters.

  3. Mobile Version (BlackBerry, iPhone, iPad etc.)

Provide a mobile version of Workbooks that can be used on mobile devices such as BlackBerry, iPhone, iPad etc. Obviously the Workbooks' interface is "rich", with multiple windows and tabs, so the requirements of a mobile version are likely to be simplified from those of the full web browser version. View one screen at a time / not display all fields / different simplified screen layout.

We’re delighted to announce that the Workbooks Mobile Client is now available for customer use.

The Mobile Client is specifically designed for smartphones and tablets. Using the client you can access a wide range of Workbooks records: People and Organisations, Leads and Opportunities, Tasks, Meetings and Cases. You can search the entire system, create, modify, view and delete items. Most usefully for when you’re on the road it integrates with your phone to make calls and send emails; you can also copy appointments to your device.

Right now it works best with recent Android and Blackberry devices and especially the Apple iPhone and iPad.

It’s still under active development so technically it’s ‘in Beta’ as we want to add more features to it. We welcome suggestions to prioritise what we should add: please add new ideas to this forum and vote on them.

To use it, just visit the Workbooks…

  4. Synchronisation with Google Calendar

To be able to synchronise Workbooks Activities, such as demonstrations/appointments/meetings in Google Calendar

  5. Linked Lists / Parent-Child Picklists

Add support for Linked Lists / Parent-Child. Allow the creation of picklists that are dependent on another picklist. Consider two picklists. Manufacturer and Model. Depending on the value selected in the Manufacturer field, the values available in the Model field would be limited to only the appropriate values:
    Ford > Fiesta
    Ford > Focus
    Ford > Mondeo
This means the child-level picklist (in this case Model) would be limited to a relatively small list of relevant values.

  6. Better logical searching

We still have a very basic ability to search for people.

We would need to be able to do like I can do with the Workbooks API, for example:

    WHERE firstname STARTS WITH 'J'
    AND job_title CONTAINS 'manager'
    OR job_title CONTAINS 'Marketing'
    OR job_title CONTAINS 'Senior'

We only have 2 types currently, gluing all queries with OR, or AND, not mixed.

I would like to be able to drill into a specific group of people to market too.

  7. Mail merge

I would like to merge names, job titles, companies and addresses into Word documents so I can write letters to multiple recipients quickly and easily without the rigmarole of exporting to excel and then mail merging from that.

  10. Add Filters to Line Items

Some records could individually have numerous line items for different customers. For example, supply orders and invoices. One should be able to filter by the name, a custom field such as invoice number, or even an Id tag given. Some of our customers give us readings and they need to be reconciled from one or two line items out of a hundred. Workbooks should implement filter functionality on line items to also reduce human error in data input or retrieval.

  11. Calculated Custom Fields

The ability to create a custom field which is calculated from other fields. Such as currency multiplied by a certain rate, or two multipliers in line items to give the price.

Good news!!! The Winter 2015/16 Update of Workbooks introduced a new type of Custom Field – Report Cell. The value displayed in a Report Cell will be based on a Report (a Report is the data source of this type of Custom Field, which will most likely be constrained to display a value for the record you’re viewing e.g. Order Value is previous financial year).
Note: We’re also introduced Report Custom Fields, which allow a report to be displayed within the Main tab of a record, or as an Additional tab e.g. Open Cases, This Year’s Orders.

Report Cells will address many “Calculated Custom Field” requirements.

For more information please look at the following Knowledge Base page: http://www.workbooks.com/help/reporting/report-based-custom-fields

  12. Sync a Person's direct dial phone number and notes from WB to Outlook Contact.

Currently WB doesn't sync the direct dial phone number back to Outlook Contacts (via WOC). This is a surprising shortcoming since most businesses rely on being able to phone a prospect!
Currently WB doesn't sync the notes between Outlook Contacts (via WOC).

  13. Rename standard field labels and allow translation to multiple languages

Custom fields already offer the ability to add new fields with the field name you require. However, you can't currently rename standard fields, or include translations to other languages. e.g. Your company may refer to support Cases as Tickets and it would be useful to be able to be able to rename Cases to Tickets.

This will make adoption of Workbooks easier as your users will be familiar with the terms and menu options Start > New > "Ticket" instead of the standard Start > New > Case.

Also, if your company operates in more than one language then you…

  14. Bulk Actions

Workbooks already includes "update / overwrite", via the Import functionality - http://www.workbooks.com/help/runninganimport. This functionality addresses most "bulk action" requirements, but it does require you to export to CSV, update the CSV, and re-import. There are plans to add a simplified "bulk action" facility in the future.
Please feel free to add comments outlining the sort of bulk updates you'd like to perform.

  15. Support Portal - for customers to log and manage cases

I'd like to see a method for customers to login (using their own email/password) and be able to log new support cases, monitor cases already logged, and be able to update and close them if required.

Also the ability to upload attachments that may be related,

We now have a Case Portal. This uses the Workbooks Process Engine so it can be configured to meet customer requirements. Please contact our support team if you would like this setting up.

  16. Custom Page Layouts

The way your application looks and feels is very important to us at Workbooks, but we realise it is currently a little inflexible. We wish to improve your experience and adoption of the service and gain the best value from its rich functionality. Therefore we will be enhancing the service to allow you to have more control over the layout of the screens. This will include the ability to rename/remove standard non-mandated fields, form tabs and add your own screen tips.

Custom Form Layouts is now available and is located in the Configuration > Customisation screen.

    Documentation is located here:
    http://www.workbooks.com/help/form_layouts

There are lots of changes in the Autumn Release, and release notes are located in Start > Bulletins.

Please also take a moment to reallocate your votes to any of the existing ideas, or log a new one. Thank you.

  17. Automatic email delivery of reports.

This would be the ability to create a report and have it automatically run and delivered via email to a distribution list based on a delivery scheduled.

    Example schedules might be:

    Daily
On a specific day each week
On a specific day each month

    Initial Customer Request - below

Our requirement is for an automated way of informing customers of their current ticket statuses. Our previous system emailed them a daily update of what cases were open and what the current status is.

I’ve created a report to mirror the previous information we sent but I cannot see a way…

In the last release we added the ability to import campaigns and campaign status. We also added the ability to identify those users who has ‘clicked-through’ on a marketing campaign (when used in conjunction with MailChimp).

  19. Recurring meetings (appointments)

I would like to have re occurring activities so that they can be scheduled like they are in outlook. A lot of our users would see this as a massive function as we are currently now using 3 systems. If we were to have this function we could do all re occurring activities in work books instead of outlook

  20. Email Marketing

The existing email marketing tool to be extended so that emails sent out in bulk can contain personalised data originating from the Workbooks person or lead records. This is currently possible when sending emails on a ‘one at a time’ basis. This functionality, will for example, enable you to display people names or values stored on a custom field in each Email when sending out in bulk.

In addition to this, in order to monitor the performance of an email campaign, analytics of responses will be captured and be available for reporting. It will be possible therefore to track how…
