Workbooks Enhancements & Suggestions

At Workbooks, we think that our customers should have the opportunity to influence our product development priorities.

If you have any suggestions or would like to vote on an existing suggestion, please do so – it helps us choose the features we will work on next. We have already addressed a lot of the most popular ideas voted for here. You get 10 votes which can be reallocated (and which become free when we complete an idea you have voted for).

  1. Integrate with Doomi. So actions can be very quickly documented, and minutes of meetings & actions can instantly be recorded in workbooks.

    Brillant!! Remove the need for separate documents for minutes & enable employees to instantly view their actions,

  2. Link e-mails to People/Leads from the My E-mails screen and update auto-linking

    Sometimes people have multiple e-mail addresses or use another account (like their personal/gmail/hotmail account) to e-mail me.

    I know I can add a reference (PERS/LEAD/ORG) to link the e-mail automatically, but that requires foresight (and I may not realize they used another account) and/or looking up the reference (which takes a few steps).

    I would much like to see "unlinked" e-mails in "My Emails" and be able to link them from there.

    It would also be cool if when I link an e-mail to a person or lead, WB would offer to "permanently" link that e-mail address and the person/lead…

  3. Custom field formatting, verification

    When entering a telephone or e-mail fields check the formatting to standardize and/or verify usability.

    For example, when I copy an e-mail address from an Outlook message it looks like this: "Some One <some.one@somewhere.com>" (without the quotes). If I paste that into wb it accepts it, but when I try to send an e-mail it complains about the format.

    It would be great to clean up the e-mail address on leaving the field/saving the record (so as I don't have to do that manually and cannot forget).

    Similarly other fields could be sanitized/standardized, like phone numbers, VAT ID's,…

  4. Organization (additional) Contact Details to include e-mail

    When you add (additional) Contact Details to an org., you can include just about every piece of contact data EXCEPT an e-mail address.

    I suggest that this is added.

    Addl contact data is useful for administering general contact info like helpdesk (order desk, logistics) numbers and they often have an e-mail address associated.

    Creating 'general' (fony) person records is an ugly workaround.

  5. Opportunity Lines - The ability to sort lines on Opportunities

    Currently it is not possible to sort Opportunity Lines we require the facility to be able to do this on the Headings on the Opportunity Line screen.

  6. Joomla et al integration

    There is an API I know, but if there was a Joomla, Drupal, Wordpress component prebuilt to do register, subscribe, remove, new case, case review etc, then that would be truly awesome

  8. Job scheduling and payroll

    We have field staff/subcontractors and would like the functionality to be able to assign jobs to them and schedule the jobs for example, some jobs are one time jobs, some are weekly, some every two weeks,etc. Linked to this would be the ability to calculate how much to pay the subcontractors/staff after the jobs has been marked as complete in the system. So in a nutshell, we would like to see scheduling and payroll functionality if possible. Thanks.

  9. bank reconciliation

    Maybe i am running away with my mind a bit here but just thought a bank reconciliation feature would be a very useful additional.It will minimise having to manually enter payments and the risk of error. i know there are seperate accounting packages that do this.

  11. Creating an activity when a field is a date.

    We need to create activities during the sales cycle which are defined at the start of the cycle. Currently this involves accessing the acvtiviies tab and creating indivual activities and either writing down the dates and other information or going back and forward between the main screen and activity screen to get the details. It could be as simple as a 'create activity' button available beside the date field which lanched the activity screen and pre-populated the date.

  13. Mailshots & Campaigns - support 'opt-in' as well as 'unsubscribe'

    At the moment when you send a campaign mailshot, you can include an 'unsubscribe' page which allows people to unsubscribe from all future mail, or from individual campaigns which they've already received email from.

    We'd like to extend this so you could include future possible campaign mailshots on the same page, allowing opt-in as well.

    eg: You run one general 'Newsletter' mailshot to all customers, but use that page to allow them to opt into more specific campaign newsletters on sub-topics if they wish to.
    Or a one-off campaign mailshot after an exhibition to new leads allows people to opt…

  15. PSA / PPM extension

    For professional services, the performance of the service is the first marketing campaign. Furthermore, service delivery may involve a network of stakeholder, supplier, advisors, shoppers, clients, team members... For a professional service firm, it is therefore critical to be able to integrate its service delivery system to its marketing ecosystem. At least a connector to PPM leaders. This is the only reason I cannot switch to Workbooks.

  16. Unified project management tool (cases, campaign, post-sale service management)


    • A case is a project linked to a service or item purchased by a customer -- it is linked to an account and require actions to achieve an outcome by a certain deadline. This action may require document sharing, access to knowledge base, communication with team members...


    • A campaign is a project linked to a service or item to be purchased by a costumer...


    • A service is a project linked to a contract with a customer...


    Those are project items that shares common characteristics. They can be segregated under different view or layout but at their core they are identical…

  17. Extend the group paradigm to all objects.

    Segmenting is key. This is true for contacts (advisors, clients, employees, geographic area, industrial sector, type of services...) but also projects (clients, internal, marketing, cases, HR) etc. Self-populating groups (smart lists) with drag & drop with self-tagging (the item once moved to the list is updated with the list's attributes). Whether you are a small business owner or a mid management director in a large corp, you should have more than one type of project and one type of contacts...

  18. Tasks completion in Outlook Connector - effectively a mobile version

    By allowing completion and follow on of tasks synced with the Outlook Connector, one creates a mobile version of Workbooks using Push Email, without requiring a mobile app.

    This also allows for offline working within Outlook

  19. Journal Entry

    I use Journal Entries in Outlook to record phone calls etc. It would be good if I could add a Journal entry to Workbooks through the synchronisation.

  20. Report based on Campaign Status

    In the Campaign window, it would be quite beneficial if a report could be created by clicking on a Member status under that tab, whether system-set or custom. That way, one could see only the members of a particular status.
